Daily Responsibilities

Arrive at Work

Grab your scanner on the way in the door and clock in.

Tidy Up Your Case and Load if Needed

Clerks place packages and buckets in the middle of your case. You must organize and clear your walk area of any tripping hazards. Check all buckets, trays, and packages to make sure they are for your route.

Check Your Delivery Vehicle

When loading or prepping your vehicle for the day, you need to make sure all lights are functioning, tires are in running order, determine if you will need to fill up on the way out, and report any issues or warning lights.

Retrieve all Worked Raw Mail and Begin Casing

Raw mail is located in buckets at your case, in the hot case, and in the flat trays.

Collect all Bundled Mail and Continue Casing

Intermittently Check Collection Areas

Work DPS

Depending on your route, you will need to case your DPS or prepare it to be taken to the street. If you are taking DPS to the street, you must riffle through it to be sure it all belongs to your route and it is in route order. Certain sections may need to be cased, if it is not in good working order for the street.

Retrieve Parcel Hamper when Parcels are Called Up

Go through and check each parcel in your hamper to be sure you only have your packages and return any packages that are not yours.

Intermittently Return Any Misthrows

Sign for Accountables and Key

Manage Forwards

Write down any new forwards, place sticker on the appropriate pink card, and make any notes needed for the mail box to insure the forward is honored.

Manage Holds

Write all new holds, pull holds, put away holds and retrieve any outgoing holds.

Write Down Parcels, Load Hamper, and Organize Spurs

Never load over your head.

Check Hot Case

Case any residual mail.

Pull Down and Prepare for the Street

Make sure all pick ups, accountables, and holds are indicated on your parcel list.

Clean Up Your Case

Load Vehicle

Load and organize your vehicle in delivery order.

Move to the Street

Document leave time on your timesheet. Make sure your vehicle mileage has been reset and fuel up on the way out, if needed.

Deliver Mail, Packages, and Accountables

Delivery is the most critical part of your day. Keep a steady rhythm at each box and each stop. Deliver all mail at each stop or location. Then, scan and deliver all packages at each stop or location. Never intermingle delivery of mail and packages at large locations. One must come before the other or you will miss scans.

Stay Safe and Aware on the Street

Review expectations and safety reminders on the street.

Expectations and Safety

Before Returning to the Office

Always stop and check your vehicle for anything that has been missed and needs to be delivered before you head back. Clear and stack your trays. Make sure your outgoing, 3M, and mark up mail is separated to insure nothing needs to be delivered before heading back to the office.

Upon Returning to the Office

Park vehicle in route parking area, curb wheels and unload it completely. Make sure there is no trash, mail, packages or any delivery equipment left under seats, visors, or any other pockets where mail can fall into, then secure the vehicle. Separate outgoing mail into proper dispatch locations. Move to your case to document return time, do mark ups and separate any returnable mail in their proper holding areas. Return left notice items and return lock box key.

IMPORTANT REMINDER:  It is never ok to leave any mail at all in your delivery vehicle. All undeliverable mail and equipment must be collected and brought into the post office upon your return. If this simple step is not completed and a delay in mail occurs, the responsible employee will face disciplinary consequences and/or termination.

Clear Your Scans

Check with a clearing administrator that your scans are cleared.

Unload Your Parcel Hamper

After everything is done, unload and organize your hamper at your case for the next day.

Tidy Up Your Case and Clock Out

Before you leave, always clean up your case. Trays and buckets must be cleared, stacked, and squared up neatly tucked under your case. Throw all trash in the trash can, hang up any notes for the next day, and remove all personal items from the case. Never leave your case in disarray. No one wants to clean up after you. Clock out.
